Coursework Submission

This section covers all details regarding the submission of coursework including deadlines, the process and frequently asked questions.

Deadlines

Academic departments/faculties are responsible for confirming deadlines at the beginning of each semester. Semester coursework deadlines for each component of your modules can be viewed via Evision. If you believe your deadline is incorrect please see your tutor and ask them to liaise with Assessment & Conferment in the Academic Registry.

If a late coursework deadline falls within the a University vacation period, the generic deadlines for late submission are:

For assessments with an original submission deadline during the period 5-16 December 2011
Friday, 13 January 2012
For assessments with a late submission deadline during the period 2-13 April 2012
Friday, 20 April 2012

If due to agreed mitigating circumstances you have an assessment opportunity in a module that is not currently running (not being taught), then the following generic deadlines apply:

Submitting your Coursework

Unless otherwise specified all coursework must be submitted to an Undergraduate/Postgraduate Office with a securely attached barcoded coursework coversheet. Different arrangements will apply if your work is required to be submitted via WebLearn.

You may submit your work over the counter of your Undergraduate/Postgraduate Office during opening hours or via the after-hours drop-box facilities. The locations of the office are available by Clicking Here and opening times of the offices and drop-boxes are available by Clicking Here.

It is possible to submit via post or courier, but we strongly advise that it is sent recorded/registered delivery and well in advance of the deadline. For your coursework to be recorded on time it must arrive at the University on or before the deadline date and time. You cannot submit your coursework by email or fax. Please do not leave submitting your coursework until the last minute. The Undergraduate/Postgraduate Office and drop-box facility close promptly at the advertised times.

Printing your Coversheet

To generate and print an individual barcoded coursework coversheet click the ‘Generate Coversheet’ link accessed via the ‘Statement of Coursework to be Submitted’ page on Evision (Click here for more information). This page will display your study details, your coursework submissions due in the current semester and, if appropriate, any coursework submissions due for outstanding re-assessments. The deadlines for each item of your coursework is also displayed on this page. You can also view details of your previous coursework submissions, and a list the of modules you are registered for.

The coversheet will then open as a new document on your computer and can be sent to a printer in the usual way or simply closed if you do not need to print your coversheet at the time.

There is also a button to use if your item of assessment does not appear on screen which will generate a coursework coversheet for a module you are not registered for, or is otherwise missing from your list of coursework to be submitted. If you ever need to use this feature you will be prompted to type in the details of the coursework you wish to submit. Coursework coversheets generated in this way will not incorporate a barcode. However, the Undergraduate/Postgraduate Office will still receive and log your coursework after submission, but you will still need to formally register for the module with them. A mark will not be released to you until you have formally registered for the module. It is important that you have registered for all modules you are taking by the end of week 2 of the first semester of the academic year in which you have enrolled; only exceptional requests to substitute modules will be considered after this point.

Coursework coversheet(s) consist of 2 pages:

  • Page 1 contains your instructions and the unique barcode that identifies your coursework.
  • Page 2 is the feedback sheet. This will be completed and returned to you once your coursework has been marked.

Receipts

The coversheet barcode is electronically scanned by your Undergraduate/Postgraduate Office on submission of coursework. Modular information is then directly recorded on to your Student Record. An immediate electronic receipt, confirming submission, will be sent to your student University email address (if you wish the receipt to go to an address other than your University email, please use the University’s email forwarding facility). Receipts for work submitted via the drop-box are dependent on the coversheet being attached and filled in correctly.

Submissions will also be available to view immediately within Evision via the ‘Record of My Coursework Submissions’ page.

Frequently Asked Questions

When will my coursework coversheets be available for printing from Evision?

Normally, coursework coversheets for the current semester will be available for printing from around the 4th week of the semester. However, if there is coursework you are required to submit before week 4 this will be listed in Evision in good time to allow a coursework coversheet to be generated, and before the coversheets for your remaining coursework are available within Evision.

Will I still receive a receipt when I hand-in my coursework at Undergraduate/Postgraduate Office?

An email receipt will be generated and sent to your University email address when the coversheet barcode has been scanned at the Undergraduate/Postgraduate Office. You will also be able to log on to Evision and view the submission status of your coursework using the Evision page ‘Record of My Coursework Submissions’. If you would like your email receipt to go to an email address other than your University email address, the University’s email forwarding facility should be used.

What if my coursework is a group assignment?

If the coursework is a group assignment a single member of the group - normally the ‘Group Secretary’ - should print the relevant coursework coversheet from Evision and write the Student ID numbers for all group members in the relevant section on page 1 of the coversheet. Your Undergraduate/Postgraduate Office will ensure that the work is logged as submitted for all students listed on this section of the form.

Can my coursework still be submitted using the Undergraduate/Postgraduate drop-boxes?

Coursework can still be submitted outside normal Undergraduate/Postgraduate Office hours using the drop-box facility. Coursework submitted via the drop-box will be scanned and logged within 3 working days. An email receipt will be sent to you when the coursework coversheet has been scanned.

What if my coursework is an artefact?

If your coursework is an artefact, for example a piece of artwork, it is to be submitted to the academic faculty rather than at an Undergraduate/Postgraduate Office, a coursework coversheet should still be printed from Evision and handed-in to your academic faculty. Your academic faculty will pass the coversheet to your Undergraduate/Postgraduate Office where your submission of coursework will be logged on the student record system.

What if I am unable to print a coversheet because of printing or other IT problems?

When problems occur with University's IT systems these are normally rectified fairly quickly and hopefully any problems preventing you from printing a coversheet will be remedied in time for your submission. You should check regularly to see if the problem has been rectified and print your coursework coversheet when you are able. However, if your coursework submission deadline is imminent and you are still not able to print a coversheet, you should take your coursework directly to the Undergraduate/Postgraduate Office without a printed coversheet. In exceptional circumstances such as IT failure, the Undergraduate/Postgraduate Office staff will be able to provide you with an alternative/replacement coversheet for you to attach to your coursework.

Generally, and in order to minimise problems of this nature, you are advised to print your coursework coversheet and submit your coursework in good time before the deadlin.

What happens if my Evision access has been suspended?

Sometimes Evision access can be suspended if, for example, you are in debt to the University. If this is the case students will still, in most cases, be eligible to submit coursework. In such cases you should contact you Undergraduate/Postgraduate Office for advice.

Impaired Performance

Appeals in respect of impaired academic performance may be made in relation to coursework that was submitted on time by the published deadline. If successful, the assessment/reassessment concerned will be voided and any mark achieved must be surrendered. A further assessment/reassessment will then be granted, at the next opportunity, in place of the voided attempt. Such appeals WILL NOT be considered in relation to work submitted during the late coursework period. Please click here for more information.

Deadlines

The deadline for ALL coursework reassessment tasks is 5pm Friday on 27 July 2012.

Work should be submittedto your Undergraduate/Postgraduate Office by this deadline. Please Click Here for the current opening hours.

Please note marks for reassessment are capped, more information can be found at the undergraduate or postgraduate assessment pages in the Academic Regulations.

Submission

Where students have a coursework reassessment opportunity in the summer reassessment period, in the great majority of cases the requirement will be to rework and improve the original submission. Most students will therefore already be familiar with the task. Students who need to check the task should find it via WebLearn, and in many cases it will also be detailed in the Module Booklet.

However, there are cases where a reassessment coursework task is set to replace the original task - such as groupwork or a presentation (the change in type of assessment is normally detailed in the Module Booklet.) In such cases the coursework task will be published at the Reassessment Coursework Tasks web page. For 2011/12 tasks will be published on 2 July 2012.

If your original assessment task was coursework, then your reassessment will also be coursework. However, please note that time-constrained assessments – In Class Tests – are normally considered as exams in the reassessment period, and therefore please check ExamTrack for details.

Exam Timetable and Guidance

To check the dates and times of examinations and where they will be held, please refer to ExamTrack. Please check promptly once the unroomed timetable has been published, so as to plan your revision and to ascertain whether you have any exams which clash. Please check the exam timetable regularly as it may be necessary to relocate/reschedule exams. Note that exams will not always be held at the building or site at which the module is taught, and are not scheduled to be on the same day of the week as teaching. At the ExamTrack home page you will find a link to a document ‘Exams – Guidance for students’ which contains advice and information all students need to know before attending any exam.

Exam Clashes

Students who have two examinations scheduled on the same morning, afternoon or evening (or who have an hour or less between successive exams on different campuses) should apply for clash exam arrangements. You will need to take both exams on the specified day but in a separate location from the main scheduled exam. A student with exam clashes will not be permitted to leave the clash room between the two exams.

It is a student's responsibility to notify the University of examination clashes as soon as possible after the publication of the exam timetable. For 2011/12 the deadlines are:

Summer Reassessment period: 9 July 2012

Clash Definition

Students who have two examinations scheduled on the same morning, afternoon or evening will need to take both exams on the same day in a separate location. Note that exams taking place on the same date but at different times (morning, afternoon or evening) are not classed as clashes and should be taken as normal. Clash arrangements will only be made for students who have two or more exams on the same date at the same time. (Exceptionally, if there is a need to travel between campuses between a morning exam and an afternoon exam, or between an afternoon and an evening exam, and the time between the exams is an hour or less, a student may request clash arrangements.)

What to do if you have an exam clash

It is a student's responsibility to check the main published exam timetable on ExamTrack as soon as this is published, to identify any clash of exams, and to advise the Assessment & Conferment Office as soon as possible and no later than the Monday before the start of the examination period, in one of the following ways:

If you have submitted a form you will be notified of their arrangements in two ways:

(a) by email (as long as a legible email address has been provided on the form). Please note that arrangements are made in the order that forms are received. Students will not be contacted by phone unless it becomes necessary to change arrangements already communicated.

(b) no email has been provided or its illegible - the clash timetable will be published on this page and also outside the Undergraduate/Postgraduate Office on the Thursday before the start of the examination period.

Please note

  • Exams cannot be changed to alternative dates.
  • Students will not be able to leave the examination room except under the supervision of an invigilator and students are therefore advised to bring food and drink with them on the day of their exams.
  • Any student leaving the clash room without supervision cannot be readmitted.

Special Exam Arrangements

Students who require special examination arrangements should contact Student Services' Disabilities and Dyslexia Service, which will carry out a needs assessment. In addition, prior to each exam period, students must inform the University of the particular exams they intend to sit, by completing and submitting an M1 form.

Forms should be submitted as early as possible. For 2011/12 the deadlines are:

Autumn Semester: 15 December 2011
Spring Semester: 26 April 2012
Summer Reassessment: 3 July 2012

Special examinations will be held on the same dates as main location exams - see Exam Track for details, these are held in Tower Building at North campus.

Taking Examinations Overseas

It is expected that students will sit their exams at the scheduled University locations. However if you feel that you need to be abroad at the time of one or more of your exams, you may apply to sit your exam(s) abroad, at the same time they are being held in London. If your request is authorised, Assessment and Conferment Office staff will assist in planning and administering the practical arrangements. Note that each exam must take place at the same time as the scheduled UK exam, and all of the University's Academic Regulations apply as they would when sitting an exam in the UK.

Subject to University approval and the payment of an administration fee, it may be possible to take University examinations abroad in approved locations. Students have to obtain written confirmation from an appropriate institution that they may sit the exam in invigilated conditions in accordance with the University's regulations.

Students need to submit their request using the Overseas Examination form as early as possible, normally immediately after the unroomed timetable is first published.

Deadlines for 2011/12 are:

Summer Reassessment: 4 July 2012

Students should be aware that it is not always possible to make the overseas exam arrangements they request. When it is not possible to make such arrangements, the student will be expected to sit the exam at London Metropolitan University, and non-attendance will result in a mark of 0 being recorded.

How to apply and your responsibilities

Assessment and Conferment Office staff will advise whether the request is authorised and administer approved requests. Alternatively you may complete a hard copy version of the form at an Undergraduate/Postgraduate Office, and this will then be passed to the Assessment and Conferment Office. A member of Assessment and Conferment Office staff will then contact you.
It is important that you apply as soon as possible (and by the deadline specified on the form).

It is your responsibility to identify and contact a suitable institution abroad, normally either a British Council or a University or College of Higher Education, and to ascertain whether they are willing to act as an exam centre for you. This will include providing a suitable room, furniture and continuous invigilation. You should do this at the earliest possible opportunity. Written confirmation, normally by email, will be required from the institution. You will need to pay directly to the institution all the fees and expenses charged by the institution, so you should ask the institution about these prior to making any provisional arrangements. Note that the University cannot approve any request until it has liaised with and received adequate assurances from the overseas institution.

Please note - you need to pay to London Metropolitan University a standard administrative charge. This covers liaison with the institution about detailed arrangements, including confirming how the institution will satisfy the requirements of the University's Academic Regulations, expenses such as despatch of exam papers and associated materials, and receipt and processing of completed scripts sent back from the institution.

Charges and payment

Charges vary according to the number of examinations taken at a single overseas institution (exam centre) in any one exam period, and are currently as follows: 1 exam: £100, 2 exams: £175, 3 or more exams: £225.

If you need to take exams at more than one overseas centre during a single exam period, each centre is chargeable separately but at rates £30 below those above. If you need to cancel arrangements requested, a reduced fee (normally between 25% and 75% of the standard fee) will be chargeable, based on the amount of work already carried out and expenses already incurred.

The Assessment and Conferment Office will confirm the charge applicable in your case. Payment can be made via the eShop. It is important however not to make payment until you are requested to do so, since it is not straightforward to arrange a refund in the event that it proves impossible to set up the arrangements.

Note that exam papers will only be despatched to the overseas centre once the Assessment and Conferment Office has confirmation that full payment has been received.

Use of bilingual dictionaries in exams

Use of a bilingual paper dictionary in examinations is permitted (except if specifically excluded in the exam question paper rubric) when a student has a genuine need, provided the dictionary is suitable, appropriate approval is obtained in advance, and necessary checking is carried out and recorded at the start of each exam.

Prior to each exam period the student will need to print a copy of the form available below, complete section 4, and then for each exam complete part 1 of section 5 and ask the relevant module tutor to confirm the need for the dictionary by completing part 2 of section 5. Students are responsible for achieving these confirmations in good time, during the teaching period prior to each exam period.

Then at each exam, the student must present the form and dictionary to an invigilator before the exam starts, for checking and confirmation that the dictionary is suitable (does not contain information other than translation), that there are no annotations other than the student's name and contact details, and that no material has been inserted. The invigilator should sign at part 3 of section 5. (If there are annotations or enclosures of any kind, the dictionary cannot be used.)

Full guidance is provided on the form, which should preferably be printed double-sided, and all pages including the guidance should be stapled together.

Note that is no longer necessary for the form and dictionary to be supplied to your Undergraduate / Postgraduate Office.  However these offices are able to advise students as regards completing the form if any aspect if unclear. Academic staff and other examination invigilators requiring advice should contact the Assessment and Conferment Office.
