How do I get my ID card?
Your ID card will be arranged by Human Resources once you return your contract
with photos. A temporary pass can be issued by the departmental office
(Ladbroke House - room LH241 or Calcutta House - room CSG04).

How do I report an ICT problem?
There are four ways to report an IT fault: Email from your university email
account to ictservicedesk@londonmet.ac.uk remember to include the asset numbers
of any piece of equipment you are reporting faulty. The asset number is printed
on a purple sticker attached to the computer or printer. You can also report
a fault by phoning 4444 or by visiting the following link http://ictservicedesk.londonmet.ac.uk/ or on your computer desktop click the ICT service icon.

How do I book media equipment?
Media Services is on the first floor inside the li brary. The team working
in media services are Martin Messias, Ros Hanmer and Dave Mulugeta. You can

Once you have your staff pass with a barcode (i.e. not a temporary pass)
you will be able to borrow books from the library. Go to the library enquiry

If you are a new member of staff your teaching timetable will be
discussed with you when you meet your academic leader or line-manager.
Existing members of staff usually plan their timetables with their line
managers towards the end of the academic year.

Once module timetables are agreed they are published on the website for undergraduate courses and
for postgraduate courses.

How do I contribute to the room timetabling
process?
Timetables for the year are planned well in advance and you will be
asked to check course timetables at key times in the year. Input to the
room timetabling process is via your line manager.

teaching staff? How do I get a key?
The lockable pigeon holes for full time staff are on the ground floor
towards the back and the left of the building. A key to your pigeon
hole can be obtained from MarcyO'Reilly. There is a list of full time
staff and pigeon hole numbers attached to the side of the pigeon holes.

towards the back and the left of the building. They are opposite the
full time staff pigeon holes. They are arranged alphabetically.

What do I need to do to send out post externally?
There is an account code that needs to be written on all external mail.
This information is provided to you by the department when you join the
university. Please contact the departmental office (Ladbroke House -
room LH241 or Calcutta House - room CSG04). for the code if you have
forgotten it. If post does not have the code clearly marked it will not
be processed by the post room. There is a post bag for external post
near the entrance to the building on the ground floor. For recorded or
special delivery please come into the departmental office (Ladbroke
House - room LH241 or Calcutta House - room CSG04). to obtain the
necessary documentation. If you want to catch the post - you need to
have items in the post bag by 3.30pm.

Jobs can be sent to the Print Centre at Benwell Road. To obtain forms for
printing please contact the departmental office (Ladbroke House - room LH241
or Calcutta House - room CSG04). Ensure that you have permission from your line
manager before proceeding with a request.

How do I make photocopies.
Wherever possible photocopying should be organised in advance and sent
to the print centre. If you do need to make copies yourself
- please contact the departmental office (Ladbroke House - room LH241 or Calcutta
House - room CSG04) for the passcode. There is one copier on the second floor
at Ladbrooke House and one in the departmental office at Calcutta House. If
you need to make copies in the library - please ask Marcy O'Reilly in the departmental
office at Ladbroke House for a card.

How do I send and receive a fax
The fax number in the departmental offices are: Ladbroke House - room

1034. If faxes are received by the departmental offices they are placed
in staff pigeon holes - unless alternative arrangements have been
requested.

How do I make colour printouts
You can make colour printouts from the computer on your desk if you ask
the ICT Service desk to set this up. The colour printer at Ladbroke
House is on the second floor outside the department office and at
Calcutta House in departmental office. Be careful if you are want to
put special paper through this printer. If you need to stop the print
queue for the printer so that other people don't print their job on
your paper, please contact the departmental office (Ladbroke House -
room LH241 or Calcutta House - room CSG04). This printer is for low
volume colour copying only. You may use it as a backup if office is not
working. If you need large volume colour print jobs - this should be
done through the print centre.

What should I do if there is a problem
with my pay?
In the first instance contact your line manager or Brian Hall about issues

When do I get paid?
The university pays staff on 24th of the month - or sooner if 24th
falls on a weekend or bank holiday. Hourly paid and temporary staff are
paid in arrears - in other words, pay for work done in October would
not be paid until November 24th.

leave?
Staff should pass their leave cards for signing to their line manager.
Once leave requests have been processed cards are returned to staff
members pigeon holes.

What arrangements are in place for appraisal
and performance related pay?
There is an appraisal and performance related pay scheme for academic staff
called PADAS (link). Professional support staff are appraised annually (PADS)
(link). For further details contact your line manager.

How do I book Eurostar?
Get your budget holder/line manager's approval for the trip in principle.
Get a quote from Key Travel. If you
believe that you can get a flight cheaper than from Key Travel - you need to
ask if Key travel can match the price. If they can you are obligated to use
them. If they can't match the price then you should ask for confirmation in
writing by email. Get your line manager's approval for the spending in writing.
If key travel are doing the booking contact Mark Coombes or Maggie Mapley in
the DASS Finance and information office with the quote details and line managers
permission and they will issue a pruchase requisition number from. You then
need to contact key travel and give them the purchase requisition number. At
this time please inform key travel that the invoice address is DASS attention
F&I office. Once this is booked with a purchase order your e-ticket will
be sent by email.

How do I book rail travel?
Get the price first from www.thetrainline.co.uk or other rail ticket provider. Get your budget holder/line manager's approval
for the trip and price. Make and pay for the booking yourself. And then refer
to the question about making personal expense claims. It is possible to follow
the same proceedures for train travel as for air travel - if you do not wish
to pay for tickets yourself - but you need to be aware that the price from Key
Travel will incur a £25 surcharge.

How do I claim personal expenses on the
personal expenses claim form?
Personal expense claims can only be made for travel related expenditure.
There should be no personal expenditure without prior approval. You may claim
back expenses if you get your budget holder/line manager's approval for a trip
in advance. Forms for claiming
personal expenses are available from the finance web pages. Complete the
form - get the line manager to approve the spending. Personal expenses need
to be agreed in advance with your line manager.

Individual Staff Development
Well in advance of the staff development event complete a teaching and
research staff development form available from the departmental offices. Submit
the form to your AL for their 'in principle' approval. Send the completed form
to The Finance and Information Office for approval from the head of department's
approval.

Ordering catering
Plan catering at least a week in advance. You must get your budget holder/line
manager's approval in advance of any order. Advice on prices can be obtained
from Mark Coombes. Fill out the form available from the departmental office.
The adminstrator who has responsibiliity for the project or subject area should
then complete together budget holders and signature and then send it to catering.

How do I refer students to counseling and
advice services?
Students should be referred in the first instance to student services.
It may be reassuring and supportive to students if acacdemic staff make
contact with student services on the students behalf when they feel a
referral is needed - rather that just giving them the student services
contact details. This way an initial meeting can be arranged and the
specialist within student services who can deal with the student can be

What should I do if I want to arrange a
student trip?
A rick assessment needs to be completed and lodged with your line manager
and the assistant head of department. In addition all participants need to fill
out an insurance form for trips beyond London. Forms
and model risk assessments can be obtained from the University website.

How do I deal with student coursework
When coursework is ready for marking you will be notified by email by the
assessment unit. Once it is marked you should mark it in accordance with the
latest guidance on assessment which is issued by the assessment unit each semester
- as well as local guidelines which will be issued by your academic leader.
Once coursework is marked, one copy of the coursework cover sheet should be
handed to the undergraduate centre, the coursework itself is either retained
by the module convenor or sent out to an external examiner as part of a sample.
Academic staff are responsible for handing coursework back to students.
